How to track cake rotation in a cafe

The short answer
Cakes that need chilling should only be out of the fridge for a limited time, and you should record when they go out and come back. GOV.UK guidance is that food can be out of the fridge for up to 4 hours; after that it should be thrown away.
Which cakes need chilling
Cakes with fresh cream, cream cheese frosting, custard, mousse or fresh fruit fillings usually need chilling. Many plain sponges, loaf cakes and brownies don’t. Check the supplier’s instructions, or your own recipe’s safe method.
The 4-hour rule
If chilled food has been out of the fridge for less than 4 hours, it can go back in. If it’s been out for longer, throw it away. Don’t keep putting the same cake out and back in: the time adds up.
A simple rotation routine
- Label each cake with the date it was made, delivered or opened.
- Put chilled cakes on display in a chilled cabinet where you can.
- Write the time each cake comes out of the fridge and goes back in.
- Use the oldest cakes first, if they’re still in date.
- Throw away anything that has been out too long, and record it as waste.
Allergens on the counter
Cakes are a common source of allergens: milk, eggs, gluten, nuts. Keep allergen information for every cake on display and make sure staff know where it is.
Doing it in Daybook
Cake Rotation is a front-of-house check in Daybook: staff log cakes out of and back into the fridge, and the owner sets how long cakes can be out in Settings.

Rules can change and differ between England, Wales, Scotland and Northern Ireland. Check with your local authority food safety team if you’re unsure. Daybook helps you keep records. It does not give legal advice or certify training.
